What is barcode?

...the use of barcodes and scanning technology to automatically identify and perform something with minimal human intervention.

For example, give your Work Order a barcode (digital id), a scanner can then read this digital id instantly and trigger an automated action (eg: show button), click the button will auto update Work Order status to done.

Where do we use barcode?

Barcode is normally used in tracking progress, updating system, for example:

Tracking production stages, eg: pending material, start work, subcon, final QC, ready for delivery, etc.

Why barcode?

Reduces human data entry errors from ~1 in 300 keystrokes to nearly zero. A scan is either correct or it fails; there are no typos.

Who needs it?

This is where barcode automation is most visible and critical.

Warehouse Personnel: They use handheld scanners for almost every task:

  • Receiving: Scan incoming pallets and boxes to confirm what was delivered.
  • Put-away: Scan an item and a storage bin location to tell the system where everything is.
  • Picking: Scan a bin location and the item to fulfill an order, ensuring 100% accuracy.
  • Packing: Scan the order to confirm it's correct and print a shipping label with its own barcode.
  • Shipping: Scan the shipping label to automatically update the order status to "shipped."

Forklift Drivers: Use smart phone scanner to move pallets and update their locations in real-time.

Inventory Clerks: Use scanners for cycle counting and annual physical inventories, making the process fast and accurate.


  • Line Operators: Scan raw materials and components as they are used to track consumption and maintain accurate bill of materials.
  • Assembly Workers: Scan serial numbers at different stages of assembly to track work-in-progress (WIP) and labor time.
  • Quality Control Inspectors: Scan a finished product's barcode to log test results, defects, or to mark it as approved for shipment.

  • Cashiers: Use fixed barcode scanners at the Point-of-Sale (POS) to ring up items quickly and accurately.
  • Customer: Scan QR code to login as guest and scan item barcode to check price.
  • Store Personnel & Stockers:
    • Scan items during receiving from the warehouse.
    • Scan items on the shelf for price checks or inventory counts.
    • Scan items being purchased by a customer using a mobile device for "line-busting."
  • Store Managers: Use inventory data from barcode scans to monitor stock levels, identify fast/slow-moving items, and prevent shrinkage (theft).
  • IT Department: Uses barcodes to track all company assets—laptops, monitors, servers, etc.—for inventory, maintenance, and auditing purposes.
  • HR Department: Might use barcodes on employee badges for time and attendance tracking or to control access to secure areas.
  • Accounting/Finance: Relies on the accurate data from barcode scans for cost accounting, inventory valuation, and auditing. They don't always scan themselves, but they consume the data generated by scanners.
  • Administrative Assistants: In offices that handle physical files, they use barcodes to track the location and check-in/check-out status of documents.

While they are not typically scanning items, they are heavy users of the data generated by barcode automation. They rely on the real-time, accurate information for:

  • Making Strategic Decisions: Based on accurate inventory turnover rates, production efficiency, and sales data.
  • Financial Planning: Accurate cost of goods sold (COGS) and inventory valuation are critical for financial reports.
  • Performance Monitoring: Tracking key performance indicators (KPIs) like order accuracy, picking/packing speed, and production throughput.
  • Customer Service Representatives: Use barcode data to:
    • Give customers accurate, real-time information on order status and inventory availability.
    • Process returns and warranties quickly by scanning the product's serial number.
  • Quality Auditors: Use barcodes to trace a product's entire lifecycle—from which batch of raw materials it came from, through which production line, to which customer it was shipped. This is crucial for recalls and regulatory compliance (e.g., in food, pharmaceuticals, aerospace).

When to implement?

This is the most common and powerful driver. 

  • The Sign: You have a high rate of errors from typos, miskeyed numbers, or misread handwriting. This leads to shipping wrong items, incorrect inventory counts, billing mistakes, and frustrated customers.
  • The Solution: Barcodes reduce the error rate to nearly zero. If the barcode is printed correctly, it will be scanned correctly every time.
